At the time of a thesis defense, a copy of the Original Approval of Candidacy is submitted to the Office of Graduate and Postdoctoral Studies. All oral thesis defenses must take place on the Rice University campus with the candidate and all thesis committee members in physical attendance, however in exceptional cases appeals to this requirement can be made to the Dean of Graduate and Postdoctoral Studies:
Appeals for proxy signature
At the time of thesis submission, original signatures are required on both the Original Approval of Candidacy (with the red initials), as well as on two copies of the title page. These signatures must be original; electronic and proxy signatures will not be accepted.
Original Approval of Candidacy
If committee members are not available at the time of thesis defense, the Original Approval of Candidacy can be photocopied and signed as multiple pages. This may be provided at the time of thesis submission as several sheets assembled together, if original signatures for each committee member can be found on copies of the Original Approval of Candidacy, and the Original Approval of Candidacy (with the red initials) is available. Scanned documents and express mail services such as DHL and FedEx could be used to obtain these signatures simultaneously.
Two Title Pages
At the time of thesis submission, two title pages with original signatures must submitted. All signatures must be on two single-page title pages.
If committee members are not available before the thesis is submitted, the title pages could be signed by committee members available locally, then mailed to each in sequence. Alternatively, an unsigned .pdf of the title page could be sent to the committee members that are away, the member that is away can print and sign two copies, and then mail two partially signed title pages to the other signatories that are available here at Rice.
