Graduate Pay
Graduate research assistants, teaching assistants, and instructors of record follow the bi-weekly schedule and are paid through the Rice payroll system. Graduate fellows follow the semi-monthly schedule and are paid through the Rice Procure to Pay system. Bi-weekly and semi-monthly pay schedules can be found here.
You must be registered full-time (minimum 9 hours per term) for the current semester you receive pay.
Semi-monthly employment schedule
Consult with your graduate program administrator to confirm any additional new hire information that must be completed in order to receive your pay. The department must also submit your payment authorization by the deadline.
The following steps must be completed in order for your stipend to be released on the scheduled pay date:
- If you receive payment for RA/TA assignments, you must complete the following tasks before the first day of performing work as a RA or TA.
- Complete Section 1 of the I-9 form that you receive via email.
- Visit the HR Service Center with your original, unexpired employment authorization documents.
- The HR Service Center is located on the third floor in the Cambridge Office Building. Visit their website for hours of operation.
Please note: Fellowship recipients are not considered employees; therefore, the I-9 requirement does not apply to them. These individuals will only complete I-9 if they receive an offer letter regarding a Research Assistant or Teaching Assistant position.
- Submit a W-4 Form
- Students have the ability to complete the W-4 form online through their iO account. If a W-4 form is not submitted through the iO account, you will be taxed at the highest rate – single status with zero withholding allowances.
- Set up Direct Deposit in iO. Please refer to the job aid found here for instructions.
- If you do not set up direct deposit, you will be issued a payment card with USA Bank. We no longer process paper checks.
